We are really into software here at Immigration Finder. 

It’s 2020 and there are so many options available for tools to use on how to automate your firm(or any business really) and it can seem daunting… A simple way to think about how this applies to your business is how many tools you use on daily basis.

If you are reading this there is a good chance you enjoy a lot of first world luxuries. You likely have or use a lot of inventions and tools on a daily basis without noticing.

  • Phone
  • Laptop
  • Doorknob
  • Keys to your house.
  • The lock you put those keys into.
  • The seatbelt in your car.

And the list goes on!!

When it comes to automating your law firm.

If it makes it easier. GET IT!!

And please don’t let a bunch of software subscriptions stack up costing your firm thousands every single month. We do software reviews when we start working with a firm and have really seen what works and what doesn’t in an immigration firm in 2020. And what is cost effective and simple to set up.

There are so many tools out there to choose from. We couldn’t possibly review all of them. But we have compiled a list of 5 tools to make your life in the immigration industry easier.

  1. LastPass

If you run a law firm in the modern age, cyber security is top priority. LastPass is a simple tool that is free or a few dollars a month to confidentially share passwords with team mates and outsourcers. 

You can share access to tools without sharing the password itself. Which makes it easy to share things for 1 time use and also to regulate who has access and who doesn’t as that person can’t share your password with others.

  1. Zapier

Zapier may not be a standalone tool, but what it will do is turn your software stack into a money making machine. Zapier is an automation tool that we swear by and use for almost all of the firms we partner with. 

Over 1,500 large companies such as: Clio, Google, Dropbox, and Mailchimp have gotten together and given you the ability to simply integrate them with no prior technical knowledge on coding.

  1. Calendly(or any type of calendar booking tool)

There are a lot of Calendar booking tools available. Acuity, Schedule Once, and High Level are others that work really well. We provide High Level to all of our law firm partners. Calendly seems to be the simplest to set up out of the box. 

This saves hours of time from sending calendar booking links to your clients and prospects instead of emailing back and forth. It looks very professional as well. On top of that this is a great way to book paid consultations with your firm. 

You can send the link to people and have them pay at their convenience. Having paid links also opens the door to your staff or a third party answering service take payment over the phone without having to have access to your payment processor.

  1. MixMax

MixMax is an inbox management tool that allows you to send and plan emails. If you are running a law firm there is a good chance you spend way too much time in your inbox. MixMax allows you to plan emails, put people into email sequences where you can follow up with people automatically, and have saved templates you can share with your team.

This tool makes it so easy to delegate your inbox. And doing customer service emails will be a breeze.

  1. A CRM

This one is a little open ended…

A CRM or Customer Relationship Management tool is a place where you can store your leads clients and keep records of your contacts. Every time you talk to someone you should take notes on their profile and stay diligent with it. 

There will always be employee turnover in your business. You can’t avoid it. Having rigorous notes taken in a shared database that is simple to use will make it easier to intake people and also prevent cold handoff of cases when you or sales people bring new clients onboard.

  • Clio
  • High Level(Our favorite)
  • Filevine
  • Zoho
  • And many more!
  1. G suite (Outlook or Zoho works as well)

It’s 2020. If you are still using a Gmail email. STOP!

Gsuite is a way for you to have  a company gmail account.

Gsuite is very inexpensive and allows you to have a company email account for only a few dollars per month. This tool will allow you to easily manage your file storage with Google Drive, your record keeping with Google Sheets, and you can use Google Docs as an encrypted writing platform for you and your team.

That is 6 tools that will help you automate your immigration firm. These will work with any business. And we have seen people make amazing improvements in the amount of time they spend at work and how effective they are when getting things done.
